Small Branch Coordinator
JOB DESCRIPTION
POSITION SUMMARY: The Branch Coordinator position is responsible for the day to day operation of a Small Gienow Branch; acting as the liaison for the Sales and Service departments between the Customer, and other internal Gienow departments. This position involves answering customer enquiries, assisting Sales Representatives in entering quotes and orders, enforcing the warranty policies, taking service requests, entering and communicating service commitments on behalf of the organization, additional various Sales and Service paper work and numerous other duties required for the day to day operation of the branch office.
MINIMUM REQUIREMENTS:
Post-secondary education, preferably in business or marketing, or minimum 2 years related experience
Excellent computer skills in Windows environment, experience with Office suite of software
Strong interpersonal, conflict resolution, and customer service skills
Good organizational skills
Dependable and punctual
Outgoing and personable personality
Professional in appearance and conduct
Sales experience an asset
CAD experience an asset
Previous experience in window and/or residential construction industry an asset
Ability to read blueprints an asset
GENERAL RESPONSIBILITIES:
Involved with the blueprint takeoff process, and quoting & ordering processes through direction from Sales Administrator and information from Outside sales representative.
Performing daily order cross-checking. Preferably this would occur prior to the order being transferred but must be completed within 48 hours (2 working days) of order transfer.
Maintenance of sales files in conjunction with the Outside Sales rep.
Completing RGA, NCR, and Credit notes when required per current work instructions.
Scheduling orders with Production Control when customer requests
Filling out lost or damaged product and non-conformance reports, re-ordering product when necessary as per current work instructions.
Creating CAD diagrams when necessary for special products
Take part in employee review process, including establishing yearly goals and objectives that align with the Branch, Corporate and personal goals and objectives.
Follow all current work instructions and policies and procedures.
Stay current on product/systems/manufacturing bulletins/etc. by reading and/or installing updates as they are communicated to Sales and Service.
Answer calls in a professional manner, asking the necessary questions required to ensure the correct product and or issue has been identified. Represent the warranties and charging policies of Gienow Building Products Ltd. for the service being requested, clearly communicating any charges, and those payments due upon the arrival of our Field Technicians arrival.
Write all the data onto a Service Request form ensuring complete and accurate information, the give it to the Order Entry area for input into the system.
Schedule the stated service work as per the Service schedule, the Service capacities, outside supply requirements and the Production Delivery Advise.
Clearly document all service issues on the service order pertaining to the service work that is to be done..
Have an excellent level of knowledge of product specifications and you have the ability to think clearly and quickly and make decisions based upon your knowledge.
Ordering and maintaining office supplies
Additional tasked assigned by the Branch Manager
AUTHORITY:
Has the authority to talk to the customer and take orders, process change-order requests on receipt of a PO from the customer, schedule Service and deliveries both internally and with the customer, etc.
Has the authority to provide pricing to the customer on request, using standard factors for the customer
Does not have the authority to commit to the customer on no-charge orders, low-discount orders, waiving of change-order or hold-order fees, etc.
Determine if service request is warranted based on Gienow product knowledge, policy and procedure.
Request for payment method for all chargeable service.
Schedule valid service orders based on lead and product availability.
Request management for Manual service if security or weather penetration issueClosing Date: 4/10/2010
